What should become an action item?
A useful action has a clear outcome and an owner: send the revised proposal, review a draft, or confirm a date. A discussion about an idea is not the same as a commitment to do it.
OGAD’s extraction is designed to separate your own commitments from work you delegated. That helps you distinguish “send the proposal” from “waiting for someone to review the proposal.” You still check whether the model understood who agreed to do what.
For example, in a short planning meeting:
- “I will send the revised outline by Friday” is a concrete commitment.
- “Could you send me the approved logo?” is a request you may need to track.
- “A different logo might look better” is a suggestion, not automatically a task.
These are examples of what to look for, not a promise that every statement will be classified correctly.
Set up the recording-to-actions route
Use OGAD Pro on Mac. Download a local transcription model and a local text model before your first offline meeting. Record only after the participants know the recording is on, and keep the visible recording status in view.
- Open Meetings and select Record meeting when you are ready.
- At the end, select Stop and let transcription and processing finish.
- Open the saved meeting and check that its transcript contains the spoken commitments.
- Open Actions and review the new items from the meeting.
- Expand an item through Where this came from to inspect its displayed source context.
- Keep the accurate items, dismiss the wrong ones and mark completed work done as you finish it.
Extraction starts during meeting processing; you do not need to copy the transcript into another service for that automatic pass. It produces to-dos for review, not messages sent to participants or assignments created in external systems.
Check the end of a long meeting yourself
The current automatic extractor reads the first 4,000 characters of the supplied transcript. It can therefore miss commitments made later in a long call. The meeting summary also uses a limited portion of the transcript, so neither is a complete checklist of everything that happened.
Before relying on the list, read the closing discussion in Meetings → Transcript. That is often where people confirm owners and deadlines. Add any missing commitments through the Actions manual-entry control, or keep them in your existing task system.
This limit makes a short, explicit recap useful: state the concrete next steps clearly during the meeting, then verify them afterward. It does not make moving the recap to the beginning a substitute for checking the full recording.
Make the list useful for the next work session
Check three parts of each item: the action, the owner and the deadline. “Review proposal” is incomplete if it was assigned to someone else. “By Friday” is unsafe to carry forward if the model attached it to the wrong task.
The source panel helps you understand why an item appeared. Return to the meeting transcript or retained recording when the wording matters. Source context on the action card is not a guarantee of an exact audio timestamp.
If an item belongs to someone else, use it as a reminder of what you are waiting for. OGAD does not establish that the other person has started or finished the work simply because the item is present.
When no items appear
Check that the meeting has a transcript and the local text model is ready. A conversation can correctly produce no actions when it contains discussion but no clear commitment. Short or incomplete transcripts, uncertain ownership and processing errors can also leave the list empty.
Use the original meeting as the reference. Automatic extraction is a starting aid; it should reduce the work of making your list without replacing your judgment about what was agreed.
The workflow is in the Mac Pro meeting and Actions implementation associated with OGAD 0.0.51. Initial app, model and licence setup may need internet; local processing can run after that setup.
